What this policy covers.

Vela is a recruiting and placement firm. We headhunt senior professionals in Latin America and place them into roles at US companies. This Privacy Policy explains what information we collect when you use our website and services, how we use it, when we share it, and the choices you have. It applies to prospective and current clients, to professionals we consider for placement, and to visitors to our website.

By using our website or engaging our services, you agree to the practices described here. If you do not agree, please do not use the website or services.

Collection

Information we collect.

Contact details. When you reach out, start a search, or apply to be considered for placement, we collect information such as your name, email address, phone number, company, and the substance of your message.

Candidate and client professional information. To run a search and make a placement, we collect professional information about candidates and clients. For candidates this can include work history, role and seniority, skills, references, compensation expectations, location and time-zone availability, and notes from working calls and reference checks. For clients this can include the role brief, hiring criteria, and engagement details.

Usage and cookies. When you visit our website we automatically collect standard technical information such as IP address, browser type, pages viewed, and referring links. We and our analytics providers use cookies and similar technologies to understand how the site is used. You can control cookies through your browser settings.

Google Calendar data via OAuth. If you connect your Google account, we access limited Google Calendar information to coordinate interview scheduling. See the dedicated section below for exactly what we access and how we use it.

Google

Google user data.

With your explicit permission, Vela accesses your Google Calendar on a read-only basis. We read your free/busy availability only — the times you are free or busy — solely to coordinate interview scheduling between clients and candidates. We do not read event titles, descriptions, attendees, attachments, or any other calendar content, and we do not write to, modify, or delete events on your calendar.

Vela’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. This means the Google Calendar data we access is not sold, is not used for advertising, and is not transferred to others except as necessary to provide and improve the interview-scheduling feature, to comply with applicable law, or as part of a merger or acquisition with appropriate notice. We do not use this data to train generalized artificial-intelligence or machine-learning models.

You can disconnect Vela’s access to your Google account at any time, either through a control we provide or through your Google Account permissions. Disconnecting stops any further access to your calendar.

Use

How we use information.

We use the information we collect to:

Provide and operate our recruiting and placement services, including sourcing, vetting, presenting, and placing candidates; respond to your inquiries and run an engagement; coordinate interviews and scheduling; communicate about searches, placements, and account matters; maintain and improve our website and services; protect against fraud and misuse; and meet our legal, tax, and compliance obligations.

Sharing

How we share information.

We do not sell your personal information. We share information only as needed to provide our services and run our business.

Between clients and candidates. To make a placement we share relevant candidate professional information with the prospective client, and relevant role information with candidates. We share what is necessary to evaluate fit.

Service providers. We share information with vendors who perform services on our behalf — for example, hosting, email delivery, scheduling, analytics, and payment processing — under agreements that limit their use of the information to providing those services.

Legal and safety. We may disclose information when required by law, to respond to lawful requests, to enforce our agreements, or to protect the rights, property, or safety of Vela, our clients, candidates, or others. Information may also transfer as part of a merger, acquisition, or sale of assets, subject to this policy.

Retention

How long we keep it.

We keep information for as long as needed to provide our services, maintain our candidate and client relationships, and meet our legal, tax, and recordkeeping obligations. When information is no longer needed, we delete it or de-identify it. You may ask us to delete information about you, subject to the rights and exceptions described below.

Security

How we protect it.

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. We encourage you to use strong passwords and to keep your account credentials confidential.

Your rights

Your choices and rights.

Depending on where you live, you may have the right to access, correct, update, or delete personal information we hold about you, to object to or restrict certain processing, and to withdraw consent where processing is based on consent. You can also opt out of marketing emails using the unsubscribe link in any such message.

Children

Not directed to children.

Our website and services are not directed to children under 18, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us and we will delete it.

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Continued use of the website or services after a change takes effect means you accept the updated policy.
